My accountant can't see my received invoices or expenses

I added my accountant as a staff person, why can't she see received invoices or expenses?  She can see limited expense information, but only the one expense i added to customer invoice.  She cannot see the invoice I "converted" to expense.

I would recommend a read-only role for accountants and let them see everything and change nothing.  Seems like that would be easy enough.

Hi Schof,

Your accountant should be able to view invoices and expenses that are assigned to a client. Make sure her account has been given project permission for all of your clients.  (Team > Assign Clients) You're right about expenses though, your staff members can only view the client specific expenses. You make a good point about the accountant role. I can definitely put this in for a feature request.

Why does the expense have to be assigned to a client?  That makes no sense to me.  The contractor did work for me for multiple clients.  The individual time has already been assigned to the clients and billed at our company rate.  This is just a cost of goods sold but not for any specific "good."

Hi Schof,

The expense doesn't necessarily need to be assigned to a client. However, staff users can only view expenses that have been assigned to a client. An admin can still add and view expenses without having to assign them to a client.

Yes I understood you but it seems like a very arbitrary distinction.  Why would a staff person be able to see only client-related expenses?  I understand you're likely to refine the permissions over time but this seems like a bizarre default.

Hey Schof,

The idea is that expenses will be kept private from other staff members unless the expense was spent on a client that the staffs manage. It's just another level of privacy for our users.

I actually recommend creating a general log-in for the admins, that way you can allow your accountant access to all the reports and expenses.

Is there a way to create a second admin account or are you saying that I should share my existing account with the accountant?

I know people bug you all day long for new features (I'm a developer too) but this really does seem like a major short coming.  If you're offering accounting software you need a way for accountants to have read-only access to everything.  I would strongly suggest you implement that sooner rather than later.  Its really annoying that I'll have to print out reports and fax them to my accountant since I don't want to give them my admin password.

Please consider it.

Hey there Sean,

We are aware of the accountant as a staff member issue/situation and its definitely on our minds. smile

As you know, there is no way to create a second admin account in FreshBooks. It's something that we are aware of that would be beneficial addition for our application. But as you said, we do get a lot of feature requests on a regular basis and although we are constantly making improvements on our application, there will always be features that we just have not been able to implement or even consider to implement yet.
