Bring your credit-card expenses into FreshBooks!
Integrating with ExpenseCloud makes perfect sense when you need a quick and easy way to enter expenses from your credit card into FreshBooks. It also lets you easily assign the expenses to your FreshBooks projects and clients. If you have a scan of that expense in ExpenseCloud, you can pull that into FreshBooks, and post it to the invoice! With the ExpenseCloud mobile app, you can also submit your expenses on the go directly into your FreshBooks account.
How it Works
Run an expense report in ExpenseCloud, choose to send it to FreshBooks, assign clients and projects if you’d like, and then send away! It’s that easy. Receipts that have been scanned will be displayed as links in the notes of your expenses, which can be passed on to your invoice. Perfect when your client wants to see the receipts.

ExpenseCloud is a great tool for small businesses looking for a simple way to manage their expenses, and keep track of their credit card transactions. It gives you access to over 4000 types of credit and debit cards, downloading your transactions nightly. You can also manually enter your own expenses, and append receipt images from your computer, or through the free iPhone app. From there, email out an expense report for approval, or send it directly to your FreshBooks account.
Getting Started
Here's how to make it all happen. If you don't already have an ExpenseCloud account, you'll need to grab one by clicking on the Get Started link at the top of this page. The integration only works with the Pro Level account so you'll need to sign up for that one.
Once you have your ExpenseCloud account, take the following steps to setup the integration:
- Login to your ExpenseCloud account.
- Go to Settings Tab > My Settings > Reports.
- Select the Setup link underneath FreshBooks.
- Enter your FreshBooks email, API URL and Authentication Token from your FreshBooks account, and click the Save button.
You should now be setup to send your expense reports to FreshBooks.
How do I import ExpenseCloud expenses into FreshBooks?
You can import expenses into FreshBooks by submitting an expense report from ExpenseCloud. You will need to create expenses and an expense report before doing so. Take the following steps to import expenses into FreshBooks:
- In ExpenseCloud, create an expense report from your expenses.
- In the Reports section, click on the expense report you want to submit.
- In the 'Submitted reports are sent to:' drop-down, select FreshBooks.
- Click the Submit button to finalize the report and send your expenses to FreshBooks.
How do I include a link to my expense receipts?
Links to your receipt images are automatically included in the notes of your FreshBooks expenses. These links are included whenever you add a receipt image to an expense in ExpenseCloud, and import that expense into FreshBooks.
What if I have multiple staff submitting expenses?
ExpenseCloud accounts are designed for a single user. If you have multiple staff recording their expenses, they will each need an ExpenseCloud account. Each of these ExpenseCloud accounts can be tied to their respective staff tokens in FreshBooks, or you could tie them all to a single token, meaning the expenses would only show up in one account, and under a single user in FreshBooks.

ExpenseBay is quite simple to use. I use Mint.com for my personal finances, and this is just as easy!
I like ExpenseBay because it saves me time doing the data entry. It syncs to Freshbooks with the click of a Button. The iPhone App is quite nice too. Looking forward to more updates and add-ons from ExpenseBay.
I am delighted with the integration between Freshbooks and ExpenseCloud. As a small business owner and consultant, I travel almost ever week and the last thing I want to do at the end of a trip is the labor associated with my expense reimbursements.
With ExpenseCloud I leverage the Droid App to upload the receipt images in real time, and quickly associate them to the right expense item and client account details (which are integrated from Freshbooks). Processing the expense summary back to Freshbooks for billing is a click of a button.
I'm thrilled that I no longer spend Friday afternoons summarizing expense from my client trips, but instead find myself on the back patio enjoying an early start to the weekend.

Finally...one of the coolest features is the customer support. I spoke to the CEO and the CTO when getting started. My Freshbooks URL was not working. They got me on GoToMeeting and gave me an online demo and solved my problems! The experience was incredible. Love it!
I have been using Freshbooks for about 2 years for my design business. It is an absolute necessity for me and an integral part of my business.
